Move-N Software is looking for a highly organized and proactive Office Manager / Administrative Assistant to join our team. If you thrive in a fun, dynamic, no-drama, low stress, non-corporate Christian environment and have a strong background in office
management, particularly with Quickbooks, we want to hear from you! This is an in office position in the Bedford, TX community.
Key Responsibilities:
- Oversee day-to-day office operations to ensure efficiency.
- Manage monthly billing and invoicing to customers using Quickbooks and collections activities.
- Process and track payments, ensuring timely bill payments and invoicing.
- Handle owner personal affairs as needed maintaining discretion and confidentiality.
- Maintain office supplies & inventory.
- Negotiate contracts and pricing with office vendors and service providers.
- Coordinate with building management vendors, including cleaning.
- Organize in-house or off-site activities, such as company celebrations, parties, and conferences.
- Assist in budget preparation and financial reporting.
- Schedule meetings, appointments, and travel arrangements.
- Provide general support to sales and programming departments.
- Assist with onboarding new hires and managing HR-related tasks.
- Other duties as assigned.
Qualifications:
- At least 5 years of experience as an Office Manager or Administrative Assistant.
- Proficient in Quickbooks, with a solid understanding of financial management processes.
- A mentally healthy, high integrity, high energy, self-starter who can work independently and takes initiative.
- Strong knowledge of office administration responsibilities, systems, and procedures.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
- Excellent time management skills with the ability to prioritize tasks effectively.
- Attention to detail and strong problem-solving abilities.
- Exceptional written and verbal communication skills.
- Strong organizational and planning skills.
- Creative and proficient in apps like Canva is a plus.
