Position Summary:

First Liberty Institute’s Event Coordinator will support the Ministry Relations Event team in the coordination of events, activities, and communication in the various stages of the event planning process.

 

Responsibilities:

 Pre-Event

  • Collaborate with Event and Marketing teams on specialty event timeline, and promotional marketing materials to include save the date, invitation graphics/copy, mailings and attendee communication
  • Label event cards
  • Prepare table collateral requirements

Week of Event

  • Utilize Mail Chimp to send final event communications and attendee updates as assigned
  • Assist Event Manager with completion of name badge printing for events (AVERY labels)

 At Event

  • Manage on-site registrations to include attendee changes and walk-ups
  • Assist in organizing name badges and registration lists as needed
  • Assist with table set-up as needed

 Post Event

  • Participate in post event evaluation meeting, record notes and distribute accordingly
  • Assist with allocation count as needed
  • Submit event expenses to Event Manager for P&L budgetary purposes

 Additional Duties

  • Assist with all major events as assigned
  • Provide department mail back-up support (distribution and allocation)
  • Provide support for F3 (Future, Faith, Freedom) initiatives as needed
  • Other duties as assigned

Requirements:

  • Must agree with and sign First Liberty’s Articles of Faith
  • Bachelor’s degree in Hospitality Management, Marketing or Communications preferred
  • Must possess computer skills, with proficiency in Microsoft Suite applications
  • Experience with Canva, Adobe Illustrator, InDesign and Dropbox a plus
  • Familiarity with event and constituent software such as Raiser’s Edge (RENXT) and MailChimp
  • Excellent written and verbal communication skills with ability to adapt communication style to different audiences
  • Ability to multitask and work effectively under time constraints and deadlines
  • Ability to travel domestically as needed, up to 30%

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to stand and walk around for long periods of time during events
  • Ability to climb or balance, stoop, kneel, crouch
  • Able to lift and or move up to 20 pounds without assistance
