Job Description:

All Saints Church is seeking an office administrator to provide a warm, welcoming, efficient office, to maintain accurate parish records, and to assist the Parish and Communications Coordinator with regular parish communications.

 

General Duties

 

Office Operations

  • Answer and direct telephone calls
  • Greet visitors and assist them with their requests
  • Process and distribute mail
  • Manage food bank distribution and maintain log
  • Monitor doors and cameras
  • Ensure that office equipment is maintained and in working condition
  • Maintain adequate inventory of office supplies for the office and various ministries
  • Purchase office supplies and equipment

Parish Records

  • Enter and update information in church database
  • Produce database reports as needed
  • Maintain register for weekly worship statistics (hardcopy and digital)
  • Maintain registers for baptisms, confirmations, marriages, and funerals
  • Assist in preparing parochial reports for the Diocese and the parish
  • Prepare certificates for baptisms and confirmations

Communications

  • Assist Parish and Communications Coordinator with website maintenance, weekly communications to the parish (emails, announcement bulletin, social media), and communication help to ministry volunteers
  • Supervise bulletin boards; assist volunteer ministries with bulletin boards; maintain Vestry bulletin board
  • Assist with bulletin copying and collation, as necessary

 

Qualifications

  • A servant’s heart, compassion, maturity of Christian character, and attentiveness to the needs of the congregation, staff, and visitors
  • Two years executive level office management experience, preferably in a church environment
  • Familiarity with the Bible and The Book of Common Prayer, worship in The Episcopal Church or other similarly liturgical denomination, the liturgical calendar
  • Competence in MS Office (Word, Excel, PowerPoint, Publisher, Outlook)
  • Knowledge of Windows 7; knowledge of Mac is a plus
  • Knowledge of basic desktop publishing, bulletin, flyer, and brochure design
  • Familiarity with Constant Contact
  • Experience with posting to social media, especially Facebook and Twitter
  • Experience with a church management system, preferably PowerChurch10
  • Excellent verbal and written communication skills
  • Flexibility and ability to work well under pressure
  • Willingness to attend trainings and seek out ways to constantly sharpen administrative and communication skills
